Email System

WhatsMine sends transactional emails — welcome messages, invoices, subscription lifecycle notices, password resets and more. This screen controls how those emails are sent (SMTP) and what they say (templates).

Location: Admin → Email System (/admin/email-system)

Email is required for production

By default the mail driver is log, which means no emails are actually sent. Configure a real SMTP server here (or via .env) before launch, or your customers won't receive invoices, password resets or lifecycle emails.

SMTP configurations

You can store one or more SMTP configurations and activate one at a time.

Adding an SMTP configuration

Click Add SMTP Configuration and enter:

Tick Activate to make it the live configuration. Activating one configuration deactivates the others.

Testing

Use Test to send a test email and confirm your credentials work before relying on them. Always do this before launch.

Managing configurations

  • Edit any configuration.
  • Activate a different one (e.g. when switching providers).
  • Delete ones you no longer use.

Email templates

WhatsMine includes ready-made templates for the emails it sends. You can edit each one's subject and content to match your brand and voice.

Typical templates include:

  • Welcome / account created
  • Email verification & password reset
  • Team invitations
  • Subscription started / renewed / cancelled / expired
  • Plan changed
  • Payment failed (dunning)
  • Invoice / receipt

For each template you can:

  • Edit the subject and content.
  • Use placeholders (shown on the template) to insert dynamic values like the customer's name or amount.
  • Enable / disable the template.
  • Send a test of the template to yourself.

Placeholders

Each template lists the placeholders it supports (e.g. {{ name }}, {{ amount }}). Keep these intact so the right values are filled in when the email is sent.

Client-level email (for campaigns)

The SMTP configured here is for platform emails (the system talking to your customers). Your customers can configure their own SMTP for sending email campaigns to their audience — that's separate and lives in their app under Broadcasting. See the Broadcasting user guide and Email/SMTP integration.
