Contacts & Segments

Contacts are the heart of WhatsMine β€” your customer database. Everyone you message becomes a contact, and you can organise them with tags and segments for precise targeting.

Contacts

Location: Contacts (/app/contacts)

The contacts list is searchable and paginated. Each contact has a name, phone number, email, profile photo, custom fields, tags and opt-in status.

Adding a contact

Click New Contact and enter their details. At minimum a phone number (for WhatsApp/SMS) or email (for email campaigns).

Importing contacts in bulk

The Bulk Import wizard lets you bring in contacts from a CSV or Excel file:

  1. Go to Contacts β†’ Import.
  2. Upload your CSV/Excel file.
  3. Map your columns to contact fields (name, phone, email, tags…).
  4. Review and confirm.

Phone number format

Store phone numbers in full international format (e.g. +14155552671). This ensures WhatsApp and SMS delivery works reliably across countries.

Exporting contacts

Use Export to download your contacts as a CSV β€” for backups or use elsewhere.

Editing & deleting

Open any contact to edit their details, upload an avatar, see their conversation history, or delete them. You can also select multiple contacts and delete them together.

The contact timeline

Open a contact to see a full history β€” every conversation across every channel, plus connected e-commerce orders. This gives agents complete context before they reply.

Tags

Tags are flexible labels you attach to contacts (e.g. vip, lead, newsletter). Use them to:

  • Filter the contacts list.
  • Target campaigns.
  • Trigger automations (e.g. "when tag vip is added, send a welcome message").

Segments

Location: Contacts β†’ Segments (/app/segments)

A segment is a saved group of contacts you can target as one audience.

Creating a segment

  1. Go to Segments.
  2. Click New Segment and name it.
  3. Add contacts to it β€” manually, or by rules.

Using segments

Segments are most useful in Campaigns: instead of picking contacts one by one, you target a whole segment (e.g. "Active customers in the US"). You can also manage a segment's members directly from its page.

Opt-in & compliance

Each contact carries opt-in flags. Campaigns automatically respect these β€” contacts who haven't opted in are filtered out β€” helping you stay compliant with WhatsApp's policies and messaging regulations.
